Venue Choice & Space Design
Abstaining from the expected convention center or hotel, we designed an ambiance to put revolutionary lung cancer information on center stage – literally. This venue provided attendees with an elevated experience, reconnecting them with their purpose and inspiring others. Music, like patient-first care, evokes deep emotions, making ACL Live at the Moody Theater a strategic choice for fostering inspiration, networking, and fun while blending medical expertise with Austin’s rich live music scene.
 
Beyond exhibitor booths, the ACL music porch featured live performances, and curated local food and vendors to keep energy high. We partnered with a national nonprofit organization that brings music to patients, for daily opening performances, reinforcing IDEOlogy Health’s commitment to patient-centered medical education.
 
Presenters as Rock Stars
Speakers became celebrity-like figures, delivering keynotes against the dramatic ACL stage backdrop instead of sterile conference rooms. Green rooms used by music legends replaced traditional prep spaces, elevating presenters and immersing attendees in an unforgettable rock-show atmosphere.
 
Interactive & Engaging Content
To combat the traditional expectations of monotonous CMEs, we designed an experiential conference. The ACL show floor became our main stage, infusing music between educational ‘acts’ to maintain concert-like energy. Panel discussions featured live polling for real-time interaction, and debates took a fun turn with a Debating with the Stars theme, complete with shimmery judging paddles and a Mirrorball-style trophy.
 
Empathy & Connection Through Ownable Moments
The event sought to inspire and forge emotional connections. It opened with an electric violinist and pianist performance accompanied by patient testimonials. The surprise? Those very patients and their families were in the audience and shared their stories.
 
A former American professional athlete who lost the use of his arm was one of the keynotes and added another layer of meaning for the attendees. A speed painter captured the event’s spirit by painting lungs that, when flipped, became a butterfly—symbolizing transformation and hope and adding another element of surprise to the medical conference.
 

Objectives, Planning & Execution

Continuing medical education (CME) conferences are essential for healthcare professionals, yet many have become uninspired, lacking patient empathy, and failing to engage modern audiences. For the Texas Lung Cancer Conference, we needed to revolutionize the traditional CME format—transforming it from a sterile, lecture-based event into an immersive, music-infused experience that combined cutting-edge medical education with the heart and culture of Austin. The event brought together 220 top industry professionals, providing them a dynamic space to earn CE credits.
 
Planning & Implementation
  • Venue Selection: To break away from the conventional ballroom setting, we hosted the conference at Austin City Limits (ACL) Live at the Moody Theater, leveraging its world-class status to create a rockstar-inspired experience. In addition, ACL Live’s global reputation made it a magnet for conference-goers, adding intrigue and excitement to the event.
  • Immersive Content Delivery: Instead of a traditional conference, sessions took place on the ACL Live main stage – where real rockstars perform – transforming attendees into engaged participants rather than passive listeners.
  • Unique Experiences: The ACL Live music porch served as the Expo Hall, blending an open-air Austin atmosphere with professional exhibits.

To keep attendees actively involved, we implemented interactive elements, including:

  • Live musical performances to keep energy levels high. Music and science are universal languages, so it only made sense to intertwine them to support learning and retention.
  • Audience polling & interactive technology for instant feedback and participation
  • Debating with the Stars—a high-energy debate that turned medical discussions into an entertaining and competitive event.

One of the biggest challenges was shifting perceptions of what a CME conference could be. This format set an industry standard, proving that medical education can be immersive, unforgettable, and never dull.

 

Effectiveness & Results

Post-event survey feedback was unanimously positive, reflecting the overwhelming success of the Texas Lung Cancer Conference. Attendees rated the relevance of educational content in sessions at an average of 4.97 out of 5, demonstrating the event’s ability to deliver high-value, clinically pertinent information in a dynamic, engaging format.
 
But the real impact is best captured by those who experienced it firsthand:

Additionally, TLC saw an impressive 32% year-over-year growth in attendance, reinforcing the demand for an innovative approach to continuing medical education.
